Privacy policy
Parcel Flare is run by [your legal name], [city], Canada. Questions or requests about personal information go to support@parcelflare.com.
We handle two kinds of personal information: what you, as a customer, give us, and what public records say about property owners. This policy covers both.
1. What we collect about customers
- Your email address, to sign you in. We email you a one-time code; we never store a password, and we keep only a scrambled (hashed) copy of each code, for 15 minutes.
- Your sender details: name, company, return address, phone and reply email. These are printed on every letter you send, so owners can reach you.
- What you do in the app: your saved lists, the properties you hide, your CSV exports (the search filters and how many rows), and the letters you send (who they went to, what they said and whether they were delivered).
- Payments: your plan, your letter credit and its history, and the IDs Stripe gives us for your customer record and subscription. Stripe handles your card; we never see or store card numbers.
- Technical details: a sign-in cookie, and your IP address, which we use briefly to stop abuse and which our hosting provider records in its logs.
2. What we hold about property owners
Our property data comes from public records: city and county open data and county tax records. For each property it includes the owner's name and mailing address, details of the property, and records such as tax sales and code enforcement cases. Customers use it to find properties and write to owners about buying them. We leave out owners whom the law lets keep their records confidential.
If you own a property and don't want letters sent through Parcel Flare, email support@parcelflare.com with the reference printed on the letter or your mailing address. We'll stop every customer from mailing you through Parcel Flare, and we keep that request on file so it stays in effect.
3. Why we use it
- To run the service: sign you in, show and score properties, print and mail your letters.
- To bill you and keep the records tax law requires.
- To keep the service secure and stop misuse, including enforcing the customer terms.
We don't sell customers' personal information, and we don't use it for advertising.
4. Who we share it with
Only the companies that help us run Parcel Flare, and only what each needs:
- Render hosts the app and its database (in the United States).
- Stripe processes payments.
- Lob prints and mails letters, so it receives your sender details and each recipient's address.
- Our email provider sends sign-in codes.
- Cloudflare runs our domain name and forwards email sent to our support address.
We may also disclose information when the law requires it.
5. Where it's stored
Parcel Flare is run from Canada, and its data is stored and processed in the United States by the providers above. It may be accessible to authorities there under local law.
6. How long we keep it
- Account details, lists and hidden properties: until you delete your account.
- Records of mailings and payments: as long as tax and accounting law requires (generally six to seven years), then deleted.
- Sign-in codes: 15 minutes.
- Owners' requests not to be contacted: kept for as long as we operate, so the request keeps working.
7. Your choices
- See and correct your details any time under Profile in the app.
- Delete your account under Profile. That removes your email, sender details, lists, hidden properties and export history. Records of letters sent and payments made are kept as described above, with your name removed from the account.
- Ask for a copy of what we hold about you, or ask a question, at support@parcelflare.com. We answer within 30 days.
- If you're unhappy with how we handled your information, you can also complain to the Office of the Privacy Commissioner of Canada, or to the privacy regulator where you live.
8. Cookies
We use one cookie, to keep you signed in. Your browser also remembers your light or dark setting and an unfinished sign-in. There are no advertising or tracking cookies and no third-party analytics.
9. Security
Everything travels over encrypted connections (HTTPS). We store no passwords, sign-in codes are stored only as keyed hashes, and access to the systems is limited to the people who run Parcel Flare. No system is perfectly secure; if a breach affects you, we'll tell you as the law requires.
10. Children
Parcel Flare is for adults in business. We don't knowingly collect information from anyone under 18.
11. Changes
When this policy changes, we'll update the version date above, and tell customers by email or in the app before a significant change takes effect.
